Terms and Conditions
In accordance with Law 300 of 1996, Decree 53 - January 18, 2002, LIABILITY CLAUSE ON TOUR
PACKAGES
The Ministry of Commerce, Industry, and Tourism is responsible for the products and quality of services described in this program according to the provisions of Law 300 of 1966 and Decree 053/2002. In case of force majeure or fortuitous events, or for reasons not directly attributable to LATINAMERICAN TOURS, the company shall be exempt from contracted obligations.
LATINAMERICAN TOURS is an intermediary company providing tourism services.
Quotations:
- All our quotations are provided in writing with comprehensive information at the client's request.
- Quotations do not represent a reservation, nor do they guarantee availability at hotels, circuits, cruises, or any other tourist services.
Reservations:
- All reservations are made in writing with complete information via email.
- All reservations include the details of all passengers (full names, identification documents, and dates of birth), especially when individuals of the same sex share rooms.
- For cruise reservations and South American lake crossings, a scanned copy of the passport biographical page of each passenger must be provided.
- All reservations must be made with a deposit guarantee, which will be credited toward the total cost of the tour package.
- LATINAMERICAN TOURS does not accept claims for requests made via telephone.
Rates:
- All rates listed in our quotations are subject to modifications based on changes and hotel policies.
Airlines and Shipping Lines:
- LATINAMERICAN TOURS is not responsible for date changes, operational changes at destinations, cancellations, schedule changes, or fare changes by airlines involved in our programs. The airline or shipping line assumes this responsibility.
Hotels:
- LATINAMERICAN TOURS acts as an intermediary for hotel services. We will act as intermediaries in handling claims and ensure that hotels respond and fulfill requested services. LATINAMERICAN TOURS makes hotel room reservations based on the customer's request. The assignment of rooms is the complete responsibility of the hotel. In most hotels, rooms are normally equipped with either two double beds or one king-size bed; these are subject to confirmation at check-in.
- Additional beds or cribs in some hotels are available for an additional cost, to be paid by the passenger directly to the hotel.
- Connected rooms can be requested, but hotels do not guarantee them 100%; they register the request and assign them at check-in if available.
- If you do not use all prepaid accommodation nights in Colombia for personal reasons, you must request in writing an exemption from the penalty or a refund order from the hotel. This request should be sent to us upon your return so that we can request a refund for the unused nights.
- If you miss accommodation nights due to flight delays or airline non-compliance during your travel, you should request a refund for those nights from the airline or a written exemption from the hotel's penalty or refund order from us to process the corresponding procedure
- In most hotels, upon check-in, a credit card guarantee or, if you do not have a credit card, a cash deposit is required for additional expenses, damages, or lost hotel property, and more. Upon checkout, if you did not incur additional expenses or paid in cash, we remind you to request the return of the signed credit card voucher. Remember that a signed credit card voucher is like a bearer check.
- Hotels may ask guests to leave the premises due to misconduct, and the refund for the following nights is subject to the hotel's established policies for such cases.
- For telephone calls at hotels, we recommend checking the hotel's rates first or purchasing calling cards.
- Hotels have established check-in and check-out times. Check-in time is from 14:00 to 15:00 hours. If the passenger arrives before this time, the hotel may accept it at their discretion. Check-out time is from 12:00 to 13:00 hours. If the passenger wants to keep the room later, they should arrange it directly with the hotel. Failure to do so may result in the hotel charging an additional cost or an extra night, according to the hotel's established policies.
- When selling a Tourist Hotel (3 Stars), it is done upon request based on the client's preference or budget. Therefore, if the service or condition of the hotel is not to the client's liking during their stay, LATINAMERICAN TOURS is not responsible and no refunds will be provided, except for suggestions that will be forwarded to the tourism provider.
Transfers:
- In case the passenger does not show up at the airport in a timely manner for their respective transfers, it will be considered a no-show. If there is a problem, flight change, cancellation, or delay preventing timely arrival at the airport, it is essential that the traveler communicates and informs the operator, whose information is provided in the vouchers issued by LATINAMERICAN TOURS. If no communication is made, the service will be considered provided, and no refunds will be given.
Force Majeure:
- LATINAMERICAN TOURS will not be responsible for the failure or absence of service and/or hotel reservations caused by circumstances beyond our control, including acts of God, adverse weather conditions, hurricanes, earthquakes, floods, fires, explosions, war, acts of terrorism, airline strikes, airport strikes, bus company strikes, train strikes, etc., or any other act not directly related to our mediation. In the event that the passenger has reservations in the affected destination and needs to change their destination, city, or hotel, they are responsible for the associated costs. In the event of hurricanes, refunds will be processed 30 days after the event, once we have all the required documentation in our possession. Unused portions will be refunded if applicable by the Hotel/provider.
- LATINAMERICAN TOURS will not be responsible for the mandatory evacuation of the hurricane-affected area. This is the responsibility of the passenger and the hotel where they are staying, which will suggest alternative accommodations or shelters provided by the city. LATINAMERICAN TOURS will not be responsible for reimbursing any hotel charges, extras, or additional expenses incurred by the passenger due to any of the aforementioned concepts.
Documentation:
- It is the passenger's responsibility to verify the validity, travel requirements, and all aspects of documentation (passport, visas, travel authorizations, etc.).
- It is the passenger's responsibility to ensure that the information recorded on the vouchers and tickets provided by LATINAMERICAN TOURS is correctly filled out, including personal information for each traveler (full names, identification documents, and dates of birth).
Requirements:
Consult with the Colombian Migration Office for the following:
- Required documents for minors leaving the country.
- Minimum passport validity for leaving the country.
- Individuals with dual nationality must present a Colombian passport with a minimum validity of 6 months.
- Check the passenger's immigration status to exit the country
- Vaccines required for the countries visited during the trip.
Important Information for Boarding and Departure of Minors: Minors traveling without their parents must have a notarized and signed permit from their parents to leave the country. This also applies when a minor is traveling without one of their parents.
We remind you to check with the Colombian immigration office to clarify the information regarding required documents for everyone leaving the country and to clarify passport information.
According to Decree 1514 of July 16, 2012, from the Ministry of Foreign Affairs, Article 21: Modifications. There will be no modifications, corrections, or annotations in travel documents (Passports). In case of any modification or correction in a person's identity, a new travel document (Passport) must be processed.
NOTE: EVERY PASSENGER TRAVELING OUTSIDE THE COUNTRY ACCOMPANIED BY A MINOR MUST OBLIGATORILY CARRY A COPY OF THE MINOR'S BIRTH CERTIFICATE. OTHERWISE, COLOMBIAN MIGRATION WILL NOT ALLOW THE MINOR TO LEAVE THE COUNTRY.
FAILURE TO COMPLY WITH THE REQUIRED DOCUMENTATION FOR LEAVING THE COUNTRY WILL RESULT IN DENIAL OF EXIT FROM THE COUNTRY, AND AS A RESULT, BOARDING WILL BE DENIED, AND 100% NON-REFUNDABLE PENALTY POLICIES WILL APPLY.
Essential for travel: valid mechanical or electronic passport that will not expire within the next 6 months, original ID card, identity card, permission for minors, round-trip tickets, hotel voucher. NOTE: An ELECTRONIC PASSPORT is mandatory for traveling to Europe.
LATINAMERICAN TOURS will not be responsible for damages or losses that may occur.
Changes and Cancellations:
All changes and/or cancellations must be requested in writing. Any charges resulting from changes and/or cancellations are subject to the policies of hotels, airlines, and tour operators. If the passenger departs before reaching an accommodation establishment, the refund will be subject to that establishment's policy.
- Cancellations made up to 90 days before the start of the trip will incur a penalty equivalent to the deposited amount.
- Cancellations made 60 days before the start of the trip will incur a penalty of 70% of the total value of the reservation.
- Cancellations made 40 days before the start of the trip or non-appearance for travel services will incur a penalty of 100% of the total value of the reservation.
Personal Belongings:
- The passenger is responsible for the care of personal belongings that are lost or damaged anywhere in the vehicle or hotel.
- LATINAMERICAN TOURS is not responsible for damages or losses that may occur.
Additional Information:
- Medical Cards and Cancellation Insurance:IT IS RECOMMENDED TO OBTAIN MEDICAL ASSISTANCE AND CANCELLATION INSURANCE FOR ILLNESS, ACCIDENT, OR DEATH.
- We reject the exploitation of sexual tourism involving children and minors in compliance with Law 678, 679 of 2001, as amended by Law 1336 of 2009.
NOTE: Any changes in government, national, and international taxes must be borne by the client.

Responsibility Clauses: applicable to tour packages, circuits, and group departures. The clauses applicable to cruises by the shipping line are provided at the bottom.
